Who we are

My SEND Record is a record-keeping tool for parents and carers of children with special educational needs and disabilities in England. You are the person who decides what goes into your record; we store it for you.

What we hold

  • Your email address and, if you give one, a display name.
  • Whatever you choose to record about your child: a nickname, school year, plan type, support items, delivery logs, observations, meetings, actions and uploaded documents.
  • Payment records for a Review Pass (handled by Stripe; we never see card details).

We recommend using a nickname or initials rather than your child's full name.

Why we hold it

Only to provide the service you signed up for: keeping your record, showing it back to you, generating review packs, and sending the reminder emails you have switched on. We do not sell data, and we do not use your child's information for advertising or to train AI models.

Who can see it

Only you and the people you explicitly invite. Access rules are enforced in the database itself, not just in the app. Uploaded documents live in a private store and are served through short-lived links. Our hosting and database providers process data on our behalf under contract.

How long we keep it

For as long as your account exists. Deleting a record or your account removes the data from the live system, including uploaded files. Backups roll off within 30 days.

Your rights

Under UK GDPR you can access, correct, export, restrict or erase your data. Settings & your data lets you download everything as a JSON file and delete a record or your whole account yourself. You can also complain to the Information Commissioner's Office.
